Maintenance & Emergency Guidelines

How to Submit a Maintenance Request
All non-emergency maintenance requests should be submitted through your AppFolio Resident Portal.
When submitting a request, please include:
  • A detailed description of the issue and its location.
  • When the problem started and whether it is getting worse.
  • Photos or videos showing the issue, when possible.
  • Any troubleshooting steps you have already taken.
  • Any additional information that may help our maintenance team coordinate repairs.
Providing complete information helps us evaluate your request, determine the appropriate next steps, and avoid unnecessary delays.

Emergency Maintenance
A maintenance emergency is an issue that poses an immediate threat to health or safety or could cause significant property damage if not addressed promptly.
Examples of maintenance emergencies include:
  • Major plumbing leaks or burst pipes causing active flooding.
  • Sewer backups involving sewage entering the home.
  • Complete loss of heat during dangerously cold weather.
  • Electrical hazards, including sparking outlets or exposed live wiring.
  • Exterior doors or locks that cannot be secured, creating an immediate safety concern.
How to Report an Emergency
Call 785-969-3395 and follow the automated prompts to report a maintenance emergency.
Our emergency reporting process is available after regular business hours.
If there is a fire, suspected gas leak, or immediate danger to life, leave the affected area and call 911. For suspected gas leaks, contact the gas utility from a safe location.
Important: Non-emergency maintenance requests should be submitted through your AppFolio Resident Portal. Please do not use the emergency reporting option for routine repairs.

Resident Maintenance Responsibilities

  • Preventing Damage: Take reasonable precautions to prevent damage, including promptly reporting water intrusion, broken windows, and other conditions that could affect the property.
  • Maintenance Access: Cooperate with properly scheduled maintenance appointments and ensure pets are safely secured when maintenance personnel are expected.
